How do I start planning an event?

Start with the goal and the budget — everything else flows from those two. Once you know what success looks like and what you can spend, set the date, book the venue, and confirm your headcount. From there you can layer in catering, AV, and the run-of-show.

What is a run-of-show?

A run-of-show is a minute-by-minute timeline of the event: when doors open, when each speaker or activity starts, cue points for AV, and when things wrap. It keeps staff, vendors, and hosts in sync so no one has to improvise on the day.

How far ahead should I plan an event?

For a small event, 6 to 8 weeks is usually enough. For a large conference or gala, start 4 to 6 months out so you can secure the venue, speakers, and catering. Book the venue and any keynote speakers first, since they have the least flexibility.
